Albertville City Schools Foundation: Administrative Assistant

The Albertville City Schools Foundation is seeking a highly organized and self-motivated Administrative Assistant to support our mission of enhancing educational opportunities for students in Albertville. This part-time role is crucial for the smooth operation of our foundation, handling essential administrative and communication tasks.

Responsibilities

  • Financial Administration:

    • Process and pay bills accurately and on time.

    • Record and process all donations, ensuring proper acknowledgment.

    • Generate and send invoices as required.

    • Maintain up-to-date financial records in QuickBooks on a weekly basis.

  • Program Management:

    • Administer the Dolly Parton's Imagination Library program, including registration and book distribution support.

  • Communication & Outreach:

    • Create and schedule engaging social media posts weekly.

    • Update the Foundation website as needed to reflect current information and events.

    • Manage email inquiries, responding directly or forwarding to the appropriate board members.

  • Office Management:

    • Maintain organized digital and physical filing systems.

    • Regularly check the PO box and handle incoming mail appropriately.

  • Event Support:

    • Assist with the preparation and execution of Foundation events as needed.

  • General Administration:

    • Perform other administrative duties as assigned by the Board of Directors.

Qualifications:

  • Excellent organizational and time management skills with a strong attention to detail.

  • Ability to work independently and prioritize tasks effectively.

  • Excellent written and verbal communication skills.

  • Experience in administrative support or a related field.

  • Strong computer skills, including experience with digital file management systems, social media platforms, and website content management is a plus

  • Experience with QuickBooks or similar accounting software is a plus

Hours & Compensation: This is a part-time position, requiring approximately 5-15 hours per week. Compensation is paid monthly.​
